Hunger Relief Operations Specialist

Purpose

This position supports the Palm Beach County Hunger Relief Plan with operational and administrative services for individuals with food insecurity as part of a county-wide collective impact initiative. The position's primary objective will be focused on children, youth, seniors, families, and others in the community, working to resolve food insecurity. This includes ongoing day-to-day administrative responsibilities and program support, as well as special projects. In addition to providing exceptional customer service to participants and team members, the Operations Specialist will comfortably and positively engage with peers in the lead agency, United Way of Palm Beach County. This position requires a person who is organized, detail driven, able to juggle several different tasks and projects at once, and a polished, professional communicator.

Responsibilities

  • Support Vice President and other staff in the daily maintenance and operation in executing the Hunger Relief Plan consisting of 10 goals, five work groups, and several subcommittees, including over 130 representatives from different civic agencies, schools, businesses, K-12 school system, faith-based organizations and not for profit community, grassroots organizations
  • Serve as the liaison working within the parameters of the United Way Hunger Relief Plan goals and objectives throughout Palm Beach County
  • Act as a liaison with local hunger relief and food serving entities to ensure the seamless coordination of food relief services to children, families, and seniors, and the community at large
  • Coordinate projects to increase access to food with an emphasis on access to fresh, healthy, and affordable food for Palm Beach County residents
  • Research, compile, and analyze data
  • Identify census tracts and create GIS interactive maps to identify areas, neighborhoods, and zip codes that have high poverty rates and are food insecure
  • Coordinate information sharing and data collection among community partners and stakeholders
  • Assist with the compilation and communication of survey results
  • Provide support for work groups, committees, and sub-committees as needed
  • Assist with logistics, reservations, and presentations as needed
  • Gather information and facilitate communication about program details between all constituent groups
  • Work closely with Vice President and other staff on organizational mission, presentations, communications, and logistics
  • Answer customer service questions or escalate questions to other Hunger Relief staff, if needed
  • Use strategic thinking to move concepts to detailed action plans
  • Manage, create, and prepare onsite committee meeting materials for participants and group leaders
  • Create, prepare, update, and maintain supplemental marketing program information and materials, in coordination with organizational marketing department
  • Assist with reviewing and submitting invoices for payment and reconcile programatic expenses, in coordination with division guidelines and finance department
  • Positively manage day to day office communications
  • Contact funded partners to secure needed documentation
  • Monitor volunteers and team participation and input data into internal customer service system
  • Regular monitoring of supplies
  • Assist with organization's disaster response efforts
  • Assist with entering data and expenses into systems, ensuring timely and accurate completion
  • Assist Manager for Hunger Relief to ensure grant deliverables are met and reporting requirements of funders is achieved in collaboration with Vice President for Hunger Relief and other staff
  • Other projects and responsibilities as determined by the Vice President for Hunger Relief

Education/Experience

  • Bachelor's degree or equivalent work experience, preferred
  • GIS Certificate, preferred
  • Bi- or Tri-lingual English / Spanish/ Portuguese, English/ Spanish or English / Haitian-Creole preferred
  • Experience in a busy office environment
  • Proficiency with Microsoft Office Suite programs and experience in a complex database environment
